Files you saved on one PC don't show up on another, the OneDrive icon shows a red X, or it's stuck on Processing changes or Sync pending. OneDrive usually tells you why - the trick is knowing where to look. Work through these steps in order; your files stay safe throughout.
What the icon tells you:
If there's no cloud icon at all, OneDrive isn't running. Search for OneDrive in Start and open it.
In the OneDrive panel, select Settings (gear) > Settings > Account. Confirm the right account is shown. If it asks you to sign in, do so. If you recently changed your Microsoft account password, OneDrive needs the new one.
OneDrive stops uploading when your cloud storage is full. The free plan includes 5 GB, which fills quickly if PC folder backup is on.
Also check the PC has free disk space - OneDrive needs room to download files.
OneDrive can't sync some items. Common causes:
" * : < > ? / \ |, or names that begin or end with a space.Rename or move the problem item shown in the OneDrive panel, then check it syncs.
Open a website to make sure the internet works. On slow connections OneDrive can take hours for large uploads. In OneDrive Settings > Sync and back up > Advanced settings, check whether upload or download rate limits are set and remove them if you want faster syncing.
Resetting disconnects and reconnects every sync connection. Microsoft says you won't lose files or data by resetting OneDrive. After a reset OneDrive re-syncs everything, which can take a while.
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset
C:\Program Files\Microsoft OneDrive\onedrive.exe /reset
C:\Program Files (x86)\Microsoft OneDrive\onedrive.exe /reset
If you had chosen specific folders to sync, check Settings > Account > Choose folders afterwards - a reset can bring back the full folder list.
Install updates in Settings > Windows Update. OneDrive updates itself, but if yours is very old, download the latest version from Microsoft's OneDrive page and install it over the top.
Keeping the same folder in OneDrive and another sync or backup app (another cloud service, or a program that moves files around) can cause conflicts and duplicate files named with your PC name. Pick one tool per folder.
When OneDrive syncs, deleting a file on one PC deletes it everywhere. Deleted files go to the OneDrive Recycle bin online for a limited time. For a real safety net, keep a separate copy - see how to back up your Windows 11 PC. If a file is already gone, recovering deleted files in Windows may help.
If a work or school account won't sync, your organisation's IT team may control OneDrive settings. For a personal account, the GetQuickTechSupport team can look at the error with you.
No. Microsoft says you won't lose files or data by resetting OneDrive on your computer. The reset disconnects your sync connections, then OneDrive does a full sync again.
A red circle with a white X on a file or folder means it can't sync. Select the OneDrive cloud icon in the taskbar to see the error message and what to do about it.
The file is waiting its turn, OneDrive is paused, or the file is open in another app. Close the app, make sure sync isn't paused, and give large uploads time on a slow connection.
New and changed files stop uploading. Free space online or get more storage. The free Microsoft account plan includes 5 GB.
